We covered the following: the results of the Alumni Booth at the All Class Picnic 08/06/08 (including alumni enrollment, alumni response, sales, orders, expenses and competitors); Trade Name Registration completed & checking account opened 8/11/08; Post Office Box opened; the Bison Shop or Alumni room was cleaned, inventoried & decorated, discussed expenses & need to order cashbox, candies & supplies; covered accounting of inventory & ownership of inventory; discussed potential scholarships from the Optimist Club & donations from NCB; created a new Flyer for Merchant locations to notify Alumni of meetings ++; and the need for Alumni Volunteers
The meeting started with Joye Stier sharing "How happy she was about having an Alumnus". She did not want people to think she wanted money for the school. She emphasized "It is to bring people together, renew old friendships and make new friendships and share experiences. Additionally, she would like Alumni (graduates) to be present at the opening of the new school with people representing each graduating class. Ms. Stier said, "This has been a long time coming."
Marlene Pegel passed out handouts to the attending Alumni. She explained that advertising has been placed in free community newspapers, WHIO-TV, ABC22 and FOX 45.
She covered the New Alumni name: Belmont Bison Alumni Association and explained why we were not able to use the previous Alumni name. After discussion, attendees agreed to use the new Alumni name. We discussed the Belmont Bison website.
Next we discussed the need for a constitution (Source: Dunbar HS Alumni) and how other school alumni groups work. The set-up costs: the Name Registration is $50.00 and the checking account is $50.00. The checking account is pending with National City Bank; waiting for confirmation of the Trade Name.
At this time, we have a FEIN or Federal Tax Identification Number and have filed for the Trade Name of Belmont Bison Alumni Association with the Secretary of State. Plus, the Bylaws (Constitution**) ready for filing with the Secretary of State, only after we elect Officers and file the Articles of Incorporation.
In the meeting, we agreed on Monotype Corsiva typeface style for the Alumni logo. We covered the constitution: the objectives, the officers, the election process, the committees, and the types of membership (& dues). There was lots of ideas and discussion. Note: The Operating Folders are ready for the officers and committees: for meetings, power point presentations, fundraising, advertising, legal documents and a membership enrollment. The alumni enrollment form is available at meetings or can be emailed to alumni and friends of BHS.
